Overview
This article explains how to configure IceWarp email accounts on Microsoft Windows and Apple macOS devices using supported email clients and protocols. It is intended for both server administrators and end-users who need to properly connect desktop email applications to IceWarp services.
The guide also clarifies protocol compatibility, limitations of Exchange ActiveSync (EAS), and when the IceWarp Outlook Sync (IceWarp Sync) add-on should be used.
Understanding Supported Connection Methods
IceWarp supports multiple communication protocols.
| Protocol | Purpose | Supported on Windows | Supported on macOS | Notes |
|---|---|---|---|---|
| IMAP | Email synchronization | Yes | Yes | Recommended for standard email access |
| POP3 | Download-only email access | Yes | Yes | Not recommended for multi-device usage |
| SMTP | Sending email | Yes | Yes | Used together with IMAP or POP3 |
| CalDAV | Calendar synchronization | Limited | Yes | Native support on Apple devices |
| CardDAV | Contact synchronization | Limited | Yes | Native support on Apple devices |
| Exchange ActiveSync (EAS) | Mobile synchronization | No | No | Desktop clients do not support native EAS configuration |
| Outlook Sync | Full Outlook integration | Yes | No | Recommended for Microsoft Outlook on Windows |
Important Limitation: Exchange ActiveSync (EAS)
Exchange ActiveSync is NOT Supported for Desktop Configuration.
Exchange ActiveSync (EAS) is primarily intended for mobile devices such as:
- Android smartphones
- iPhones and iPads
Modern desktop email clients on Windows and macOS do not provide reliable native EAS account configuration for IceWarp servers.
Should you need to synchronize emails, contacts and calendars altogether, we recommend using the IceWarp Desktop Client.
What it means
Windows
- Microsoft Outlook cannot use native EAS connectivity with IceWarp.
- Windows Mail application support is inconsistent and not recommended.
- Outlook should use either:
- IMAP/SMTP
- IceWarp Outlook Sync
macOS
- Apple Mail does not support IceWarp EAS configuration.
- macOS clients should use:
- IMAP/SMTP
- CalDAV
- CardDAV
When to use IceWarp Outlook Sync
Recommended Scenario
Use IceWarp Outlook Sync when:
- Users require full Microsoft Outlook collaboration features
- Synchronization of:
- Calendars
- Contacts
- Tasks
- Notes
- Cached/offline Outlook mode is required
- Shared folders and Groupware functionality are needed
Compatible Outlook Versions
Outlook Sync is intended for Microsoft Outlook on Windows only.
Typically supported:
- Outlook 2021
- Outlook 2024
- Outlook 365
Outlook Sync Protocol Compatibility
| Feature | IMAP | Outlook Sync |
|---|---|---|
| Yes | Yes | |
| Calendar | Limited | Yes |
| Contacts | Limited | Yes |
| Tasks | No | Yes |
| Notes | No | Yes |
| Shared folders | Limited | Yes |
| Offline cache | Limited | Yes |
When NOT to use Outlook Sync
Do not use Outlook Sync if:
- The user only needs basic email access
- Outlook is not installed
- The operating system is macOS and you have Outlook for Mac
- A lightweight IMAP-only configuration is preferred
